SPAN 01

Verify the worker.
Protect the festival.

↳ annotation: WAV compliance, zero guesswork

01 / The Challenge

Defqon.1 draws 250,000 visitors across four days, served by an army of suppliers. Dutch WAV law requires work authorization for every non-EU worker, and the liability sits with the organizer, not the supplier. One missed check at the gate becomes the festival's exposure.

02 / The Protocol

Q-Dance is the first festival to run Controle Carla live. At Defqon.1, the production office team checks every non-EU hire in a chat. Nationality in, verdict out, audit trail logged. Routine checks clear on the spot, and the hard cases route straight to HR.

How Carla Works

GUIDED DECISION TREE

Carla doesn't classify a document in one shot. She walks the operator down the WAV decision tree one question at a time, until she reaches a defensible verdict: approve, decline, or escalate to Legal.

Why Manual WAV Checks Fail

Dutch immigration law recognizes dozens of document and nationality combinations, each with different rules. A Polish ID card has different requirements than a Kazakh passport with a TWV. A US student visa isn't a work permit. No production-office coordinator can memorize every rule, and at Defqon.1 the consequences of a mistake are a matter of record.

Controle Carla eliminates guesswork. The production office types a nationality and document type, and Carla responds with the exact verification steps. Every check is logged with a timestamp and exported as a CSV audit trail, giving the production office compliance evidence ready for any Arbeidsinspectie.

Multi-Language Support

Switch the conversation from Dutch to English on the fly for the international supplier crew at Defqon.1.

Office-Run, No HR Bottleneck

The production-office team clears non-EU checks themselves, in the moment, instead of calling Q-Dance HR for every edge case.

Built-In Audit Trail

Every WAV exception logged with a timestamp and exported as CSV. The evidence is ready before the Arbeidsinspectie asks.

Field Report

“The production office is the one door every crew member comes through, and a lot of them aren't Dutch. Carla means my team can clear those checks themselves, in the moment, instead of calling HR for every edge case. And the whole audit trail is just there if anyone ever asks.”
